Try one workflow first

To use AI, pick one job that happens every week, already has material, and has someone who receives the result. Don’t change every workflow at once.

How to pick that one job

  1. 01It happens every week or every day, not once a year.
  2. 02The material is already in email, a sheet, or a document. You do not need a new system first.
  3. 03Someone looks at the result and already knows what “ready to hand on” means.
  4. 04A mistake can be corrected. It does not go straight to a client or the public.

While you try it, look at only these four

  • On the same job, where doing it by hand and doing it with the tool differ.
  • Which step still needs a person.
  • Whether anyone pasted in material that must not leave the company.
  • Whether the person who finished it wants to use it again next week.

Don’t write “efficiency improved by this much” yet. Without the same job, the same person, and a before-and-after, that figure is useless.

This is not a case study. There is no company’s result here. Try it on your own work.

Then decide the next job

If it is worth keeping, write it as one or two steps the next person can follow. If it is not, stop and change the job, not to a more expensive tool.
